Walkaround App is a voice-first tool for Australian construction site supervisors. We take your privacy seriously and this document explains, in plain English, what data we collect and how we handle it.
This policy describes the personal information collected when you use the Walkaround App, how that information is stored and used, who else sees it, and the rights you have over it. It applies to the app available at walkaroundapp.com.au and any preview or backup deployment at walkaround-app.vercel.app.
The app is currently in closed alpha — only users whose email addresses are on our access list can sign in. The fundamentals of how we handle data won't change as the app moves to wider availability, but this policy will be updated to reflect new features or third-party services as they're added. The Last updated date always reflects the current version.
Walkaround App is operated by George Oliver, an Australian sole trader, ABN 88 109 659 596. The business is based in Australia. Contact details are at the end of this policy.
We collect information that's necessary for the app to work, plus some information that helps us understand how the app is used so we can improve it. We try not to collect anything we don't need.
When you sign in, we collect your email address. After sign-in, you can optionally complete your profile by providing your display name, your job role or title (e.g. "Site supervisor"), your company name, and your mobile number. None of the profile fields are strictly required; the app will work with just an email.
When you record a voice note in the app, the audio is briefly transmitted to a transcription service for conversion to text. When you attach photos to a draft, those photos are briefly transmitted to an AI service to help the app understand and describe what's in them. Details of who handles this content and how long they retain it are in the Third-party services section below.
Each draft you generate — the voice transcript, any photos you attached, the email body the AI produced, the tone you selected, and any refinement notes — is stored with your account. You can read, edit, mark as sent, or delete any of your drafts at any time from the Drafts tab in the app.
If you add subcontractors, project managers, or other contacts to the app's address book, the information you provide (company name, contact name, email, trade, mobile, role) is stored with your account. If you add writing samples to help the AI match your personal voice, the sample text is stored with your account. Both can be edited or deleted by you at any time.
Each time the app generates a draft or transcribes audio for you, we record the time, the type of operation, the model used (e.g. Claude Sonnet 4.6 or Whisper), the number of tokens consumed (a measure of text length), and the estimated cost in US dollars. We use this to apply per-user cost caps and to monitor for unusual usage. We do not record the content of the voice note, draft, or photos in these usage records — only that an operation occurred and how much it cost.
We use PostHog, a product analytics service, to understand how the app is being used in aggregate. PostHog captures structural events — for example, that you switched from the Capture tab to the Drafts tab, that you generated a draft of a particular trigger type, or that you used a template. The properties attached to these events contain only structural metadata, never the content of your voice notes, drafts, photos, contact emails, or writing samples. Your email address is attached to these events so we can distinguish between users in our analysis.
PostHog also records short videos of how users navigate the app — clicks, taps, page changes — to help us spot usability problems. All text inputs and textareas are masked in these recordings, so the actual content of your voice notes, draft emails, transcripts, and email fields appears as masked placeholders rather than readable text. We can see how you moved through the app, not what you wrote in it.
The app uses cookies and your browser's local storage for: authenticating you once you've signed in, remembering your preferences (Reading Mode, OpenAI key if you've supplied one), and identifying you to PostHog so we can attribute analytics events to your account. We don't use any third-party advertising or marketing cookies.
We use the information we collect for the following purposes, and no others. We do not sell or rent your personal information to any third party for any purpose.
Your data lives in a small number of well-defined places. We've chosen providers that offer appropriate security and that, where possible, host data within Australia or in jurisdictions with strong privacy law.
Your profile, your saved drafts, your contacts, your writing samples, your usage history, and your account settings are stored in a Supabase project hosted in the Sydney, Australia region (ap-southeast-2). Supabase is a backend service provided by Supabase Inc., a US-incorporated company that offers regional hosting. Storing this data in Sydney means it doesn't leave Australia under normal operation.
Behavioural analytics events and session recordings are sent to PostHog's EU servers (eu.i.posthog.com). PostHog Inc. is a US-incorporated company; the EU instance is governed by EU data protection law (GDPR), which provides robust privacy protections. We chose the EU region rather than the US region for this reason.
When the app drafts an email for you, your voice transcript and any attached photos are sent to Anthropic's Claude API for AI processing. Anthropic Inc. is a US-incorporated company. Per Anthropic's commercial API policy, content sent to their API is not retained beyond what's necessary to process the request, and is not used to train their models. Their full data handling policy is at anthropic.com/legal.
When the app transcribes a voice note, the audio is sent to OpenAI's Whisper API for transcription. OpenAI is a US-incorporated company. Per OpenAI's API policy, audio sent to the Whisper endpoint is not retained beyond what's necessary to process the request, and is not used to train their models. Their full data handling policy is at openai.com/policies.
The app's web pages and server-side functions are hosted by Vercel Inc., a US-incorporated company. Vercel handles delivery of the app's HTML, JavaScript, and server endpoints, but does not store your personal information beyond standard request logs (IP address, timestamp, URL accessed) which are kept short-term for security and abuse prevention.
The app also stores some data on your device using the browser's local storage and IndexedDB — for example, your preferences and a local cache of your recent drafts. This data lives on your device only and is removed if you clear your browser data or sign out.
We share information only with the service providers listed in the section above, and only to the extent necessary for them to perform their function. Specifically:
We do not sell your personal information to anyone, ever. We do not share your data with advertising platforms, data brokers, or marketing companies. If we ever change this commitment — which we currently have no plans to do — we will update this policy and tell every existing user directly before the change takes effect.
If we are required by Australian law to disclose information about you — for example, in response to a court order, subpoena, or regulatory request — we will only disclose what is legally required, and we will tell you about the disclosure unless legally prevented from doing so.
Under the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth), and under good practice generally, you have the following rights over the personal information we hold about you.
You can ask us to show you what personal information we hold about you. Most of it is visible to you directly in the app — your profile in Settings, your drafts in the Drafts tab, your contacts in the Contacts tab. For anything not directly visible (such as your stored usage history), email us and we will send you a copy within a reasonable time, usually within 30 days.
You can update your profile information directly in the app at any time. For any other information you believe is inaccurate, email us with the correction and we will update it.
You can delete individual drafts, contacts, or writing samples directly in the app. If you want your account and all associated data removed entirely, email support@walkaroundapp.com.au with the request. We will delete your account, your profile, your saved drafts, your contacts, your writing samples, and your usage history within 30 days. Records that the law requires us to keep (for example, tax records relating to your usage if you were a paying customer) will be retained for the legally required period and then deleted.
You can ask for a copy of your stored data in a structured, commonly used, machine-readable format (e.g. JSON). Email us with the request.
If you no longer want us to process your personal information for the purposes described in this policy, you can sign out of the app and request account deletion. Once your account is deleted, we will no longer process your personal information.
If you're unhappy with how we've handled your personal information, you can contact us directly and we will try to resolve the issue. If you're still not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au. The OAIC handles complaints under the Privacy Act 1988 (Cth).
Walkaround App is built for adult professionals working on Australian construction sites. The app is not intended for, marketed to, or designed for use by anyone under 16 years of age. We do not knowingly collect personal information from children under 16.
If we discover that we have collected information from a child under 16 in error, we will delete that information promptly. If you are a parent or guardian and believe your child has provided us with personal information, please contact us and we will remove it.
We protect your personal information with appropriate technical and organisational measures, including:
No security system is perfect. If we ever experience a data breach that involves your personal information, we will notify you and the OAIC in accordance with the Notifiable Data Breaches (NDB) scheme under Part IIIC of the Privacy Act.
We may update this policy from time to time, for example when we add a new feature that involves new data handling, or to clarify wording. The Last updated date always reflects the current version.
If we make a material change — meaning a change that meaningfully affects how your data is used — we will notify you by email and within the app, with at least 14 days' notice before the change takes effect. Continuing to use the app after a material change indicates your acceptance of the updated policy.
